Is the Flex accounting plan suitable for my business?

  • Flex & Flex Pro are acccounting plans which are charged based on the monthly volume of your business
  • Compared to the fixed plans (Start-Up Lite, Start-Up Advanced & E-Commerce & Digital Services), Flex & Flex Pro are more suitable for companies with low amount of invoices or seasonal activities. It’s also a better option for more complex business models, NGOs or businesses that simply exceed the monthly sales volume threshold for our fixed plans
  • In case you have a VAT number and require monthly accounting assistance, the Flex plan is a good alternative when your business doesn’t generate a lot of volume yet

The invoice for the Flex plan is issued at the end of the corresponding month. To sign-up, first payment of 59 EUR is necessary.

Monthly base fee for the Flex plan is 59 EUR (includes monthly VAT reporting)

Additionally to the base fee, every additional entry is charged based on the following pricing model:

  • 1 to 100 Entries – entry rate 4 EUR
  • 101-200 Entries – entry rate 3 EUR
  • 201-500 Entries – entry rate 2 EUR

The plan also includes an user account in the accounting software SmartAccounts (manage & Create sales invoices) & Envoice (expense management software)

Features of the Flex plan:

  • Charged based on the documents and sales volume of the previous month
  • Onboarding of the customer, set-up in our- and official tax systems
  • No limit for how many documents you can submit, monthly sales volume limit is 500,000 EUR (when exceeding 500,000 EUR monthly sales volume,  Flex Pro is necessary)
  • Processing of accounts and -documents of the previous month
  • VAT reporting and maintaining VAT number in Estonia (subject to eligibility and discretion of tax authorities)
  • Qualifying monthly reports are required from the Client's e-commerce system and payment accounts/gateways
  • OSS/IOSS reporting and maintaining
  • EORI number maintenance
  • Dividend & Salary compliance
  • Bookkeeping according to IFRS for SME-s and Estonian Accounting Standard
  • Customer support via e-mail within 1-3 working days
  • User account in the accounting software SmartAccounts (manage & Create sales invoices) & Envoice (expense management software)

What does the monthly account fee for the Flex plan includes?
- Keeping client registration in our accounting system and state tax system, accountant readiness for the provision of support to the client, response time to client 1-3 working days by e-mail, and the preparation of the monthly VAT report with nil value if there are zero entries in a given month.

Monthly base fee for the accounting plan Flex is 59 EUR.

What are considered as bookkeeping entries?
- Each line on the bank statement, purchase- and sales invoices, taxes, tax declarations, withdrawal- and deposit of cash, loans and interests in and out, state fees, bank fees, currency exchange, debit/credit card transactions, expense reports, periodization, fixed assets, depreciation, share capital, investments, dividends etc.

  • 1 to 100 Entries - entry rate 4 EUR
  • 101-200 Entries - entry rate 3 EUR
  • 201-500 Entries - entry rate 2 EUR
  • Cash Flow ≥ €200,000 - 500,000 - entry rate 5.50 EUR

For us to be able to submit the necessary declarations on time, the client should submit all accounting documents, bank statements as soon as possible, but no later than by the 5th date of the following month. Documents must be submitted via the Envoice app, which is included in the accounting plan.

 

The provider of this service is Sunny Finants OÜ, reg. code 10116749, established in 1994, license #FIU000124 for Financial Services, Service of Trust Funds and Companies. The service fee is subject to 22% VAT.

Supported business profile

  • B2B / B2C Sale of professional services (physically or manually, via e-mail, phone or by other manual means)
  • B2B / B2C Sale of physical goods on marketplaces (Amazon, Shopify, Etsy, e-Bay, Meta etc.), e-commerce store, Stripe
  • B2B / B2C Sale of digital (automatically provided) electronic services (apps, SaaS, media content, gaming, blog, news, podcasts)
  • Your operate in any of the following fields: consultation, coaching, software development, advertising, web designing, marketing, SEO, travelling services or something similar
  • One-time sales (a receipt of single payments from unique buyers)
  • Subscription model (a receipt of consecutive regular payments)
  • Automatic sale of online advertising services, affiliate marketing service
  • Service is location dependant (provided in a specific spot or area)
  • Service is location independent (provided remotely)
  • You have one or multiple e-commerce sales channels, incl. platforms, own sites, shops, media channels

Wise, Payoneer, Revolut, Stripe, Paysera, N26, Klarna, Paypal, Holvi, ApplePay, GooglePay, MakeCommerce, Bankera, GlobalNet, Verifo, Intergiro, PayHawk, Wamo, Shopify Payments, Amazon Pay, Ali Pay, Google AdSense, Meta Pay, LHV, Swedbank, SEB, Luminor, selected foreign banks from EEA region.

Additional services and fees

Estonian VAT number registration / de-registration – 99 EUR
OSS / IOSS registration – 99 EUR
EORI number registration – 79 EUR
Retrospective processing- or amendment of accounts, documents, reports – 60 EUR / hour
Consulting on taxes, accounting, employment, business management, and administration – 70 EUR / hour
Correspondence with the customer, service fee based on the timesheet – 50 EUR / hour
Enhanced Due Diligence fee (applicable if monthly cash flow is more than 200,000 – 500,000 EUR) – 100 EUR
Other services required by the client

Bookkeeping and consolidating of additional monthly reports:

  • Each additional report from e-commerce systems and payment accounts/gateways is 25 EUR / month
  • Each additional country in OSS/IOSS reporting 10  EUR / country
  • Each non-Estonian VAT number is 10 EUR / month

If VAT number and -administration in other countries is required, then this is to be arranged and cost bore by the Client. For VAT support in Austria, Belgium, Czech Republic, France, Germany, Italy, Netherlands, Poland, Slovakia, Spain, Sweden, United Kingdom we recommend our affiliate partner Hellotax. All above mentioned rates are excluding 22% VAT.

Restrictions

1. If your business profile requires a mandatory Activity License, such as a tour operator, excise tax goods, or other regulated activities, please be aware that we only support selected customers who have:

  • A proven track record in their field of business;
  • A clear understanding of applicable regulations;
  • The ability to meet mandatory compliance requirements at a satisfactory level.

2. Besides illegal goods and activity, we do not support business profiles involved in the following:

  • Lotteries, betting
  • Adult content
  • Spirituality, prophecy
  • Alternative medicine
  • CBD, e-cigarettes, tobacco, alcohol

  • Financial and investment services
  • Payment services
  • Insurance services
  • Crypto wallet- or FIAT exchange services
  • Initial Coin Offering (ICO)
  • Forex services

3. Unfortunately, we can’t onboard if the client is a resident or its business counterparts are from the following countries

1. FATF grey- and black-listed countries, excluding Turkey and UAE
2. EU list of non-cooperative jurisdictions for tax purposes
3. Countries with a Higher Risk of Terrorist Financing listed by FIU of Estonia
4. EU-sanctioned: Russian Federation, Belarus
5. Countries that Estonia does not have a cooperation framework on justice, security, and law enforcement: Afghanistan, Algeria, Burkina Faso, Egypt, Iraq, Iran, Yemen, Jordania, Democratic Republic of the Kongo, Libanon, Libya, South-Sudan, Mali, Morocco, Mozambique, Nigeria, Niger, Pakistan, State of Palestine, North-Korea, Saudi Arabia, Somalia, Sudan, Syria, Tunisia, Usbekistan.
